Key Responsibilities:

• Attend and conduct phone calls and e-mails from individuals and companies that contact the firm and engage them in meaningful new conversations to learn about their needs.
• Manage all relationships and interactions with your potential and existing clients through the CRM.
• Convey confidence that we can help potential clients with their business immigration matters.
• Understand, and help the client understand, the difference between "cost" and "value".
• Learn how to sell legal services: manage the consultation, convey a sense of urgency, understand the needs of potential clients and how we can help them, get the client to hire the firm and pay the retainer, and oversee the smooth transition of the client's matter to the legal team.
• Follow up with potential clients who have not been engaged, to keep the door open for the firm to help them.
• Basic data entry to create lead and client records in our tracking systems.
• Design sales strategies.

• Excellent judgment and demonstrated discretion in handling confidential information.
• Ability to maintain organized files and databases.

Role and Responsibilities:

• Scan documents including, but not limited to:
  • Physical client files when the case is closed.
  • Incoming mail.
  • Outgoing mail.
• Add information on all scanned documents into Clio, the firm's case management system, per firm policy.
• Ensure that all outgoing faxes are transmitted correctly on a daily basis.
• Add all court dates and other appointments to the Clio calendar from documents received via daily incoming mail.
• Alert paralegals of any conflicts on the calendar.
• Print court documents for signature and scan them back to the paralegal for submission to the court.
• Verify data for recording errors.
• Provide information to co-workers.
• Translate information for others.
• Maintain and order all office supplies under the direction of the Business Manager.
• Perform basic bookkeeping duties, receive payments, prepare receipts, print balance sheets, etc.
• Monitor stock of office supplies (paper clips, stationery, etc.) and report when there are shortages.
• Answer the telephone to take messages or redirect calls to appropriate colleagues.
• Perform other duties as assigned.

Key Responsibilities:

• Case Management:

  • Assist attorneys with case management tasks, including organizing and maintaining case files, calendars, and deadlines.
  • Conduct legal research and gather relevant information to support case preparation and documentation.

• Document Preparation:

  • Draft, review, and edit legal documents, correspondence, and forms related to immigration cases, ensuring accuracy and compliance with regulations.
  • Prepare and file immigration petitions, applications, and supporting documentation with government agencies.

• Client Communication:

  • Serve as a primary point of contact for clients, providing updates on case status, answering inquiries, and gathering necessary information.
  • Maintain regular communication with clients to ensure their needs are addressed and questions are answered promptly.

• Administrative Support:

  • Provide administrative support to attorneys and legal team members, including scheduling appointments, managing correspondence, and maintaining databases.
  • Incoming mail.
  • Outgoing mail.

• Compliance and Quality Assurance:

  • Ensure compliance with legal requirements, regulations, and firm policies in all aspects of case management and documentation.
  • Conduct quality assurance checks to verify accuracy and completeness of legal documents and filings.
  • Outgoing mail.

• Team Collaboration:

  • Collaborate with attorneys, paralegals, and support staff to streamline workflows, share knowledge, and achieve team objectives.
  • Participate in team meetings, training, and professional development activities as required.

Desired qualifications:

• Bachelor's degree in Paralegal Studies, Legal Studies, or related field; paralegal certification preferred.
• Experience working as a paralegal in immigration law or related practice areas would be a plus, but it's not required.
• Ideally some proficiency in legal research tools, case management software (Clio), and Microsoft Office suite.
• Strong attention to detail and organizational skills, with the ability to prioritize tasks and manage deadlines effectively.
• Excellent written and verbal communication skills, with the ability to interact professionally with clients and colleagues.
• Self-motivated and able to work independently in a remote environment, while also contributing to a collaborative team atmosphere.
• Familiarity with remote work tools and technology, including video conferencing and document sharing platforms.
